This Privacy Policy explains how MANAGE MAKER AISYSTEMS LLP ("we", "us", "our") collects, uses, stores and shares personal data when you visit managemaker.org or contact us. It applies to information we process as a data controller under the UK GDPR and the Data Protection Act 2018.

2. What personal data we collect

When you use the contact form on managemaker.org we collect:

  • name
  • email address
  • company name (if provided)
  • the content of your message (up to 500 characters)

When you visit the Site we may automatically collect:

  • IP address (truncated where possible)
  • browser type and version
  • pages viewed and time spent
  • referrer URL
  • date and time of access

We do not knowingly collect special categories of personal data and we do not collect data from children under 13.

4. Who we share data with

We share personal data only with processors who help us run the business, under written data processing agreements:

  • Website platform:Readdy.ai (website hosting and contact-form delivery)
  • Email infrastructure:our business email provider
  • Cloud infrastructure:Amazon Web Services and Microsoft Azure (for the AI services we operate on behalf of clients)
  • Professional advisers:accountants and lawyers, where strictly necessary

We do not sell personal data and we do not share it for third-party advertising.

5. International transfers

Some of our processors are based outside the United Kingdom (typically the United States and the European Economic Area). Where we transfer personal data outside the UK we rely on:

  • the UK adequacy regulations where the receiving country has been recognised as adequate, or
  • the International Data Transfer Agreement (IDTA) or the UK Addendum to the EU Standard Contractual Clauses, with supplementary measures where appropriate.

You can request a copy of the transfer mechanism applicable to a specific processor by writing to support@managemaker.org.

6. How long we keep data

  • Contact-form enquiries that do not lead to a contract:deleted within 12 months.
  • Records of clients and projects:kept for the duration of the engagement and for 6 years afterwards to comply with UK accounting and tax rules.
  • Marketing-list entries:kept until you unsubscribe or for 2 years of inactivity, whichever comes first.
  • Server logs:30 days.

7. Your rights

Under UK GDPR you have the right to:

  • access your personal data (Art. 15)
  • rectify inaccurate data (Art. 16)
  • erase your data ("right to be forgotten") in certain situations (Art. 17)
  • restrict processing (Art. 18)
  • data portability (Art. 20)
  • object to processing based on legitimate interests (Art. 21)
  • withdraw consent at any time, where processing is based on consent

8. Cookies

We use essential cookies required for the Site to function and limited analytics cookies. You can refuse non-essential cookies through the cookie banner shown on your first visit and change your choice at any time via the "Cookie settings" link in the footer.

9. Automated decision-making

We do not make decisions about you based solely on automated processing that produce legal or similarly significant effects.

10. Security

We use industry-standard technical and organisational measures (TLS encryption in transit, access controls, reputable cloud providers) to protect personal data. No internet transmission is fully secure, so we cannot guarantee absolute security.

11. Changes to this policy

We may update this policy from time to time. The "last updated" date at the top shows when it was last changed. Material changes will be announced on the homepage at least 30 days in advance.
